Receptionist & Customer Service Representative


Reception CSRs are responsible for promoting the Bishop Ranch Veterinary Center culture by being the front line of communication for clients in the office and over the phone.

Essential Functions

Reception CSRs work under the supervision of the Reception Supervisor. The primary responsibilities of this role include keeping accurate medical records, clerical work, client education, promotion of hospital products and services, and support of hospital managers and other team members. This includes, but is not limited to:

  • Communicating with various department staff and clients using walkie-talkies, Slack, Google whiteboard, BRVC phone system, Outlook email, Smartsheet, AllyDVM, and Formstack.

  • Following established hospital policies and procedures when interacting with clients and staff.
  • Triaging incoming appointment types, checking in patients, preparing any needed documents, and communicating appointment needs to staff and technicians as needed.
  • Confirming pre-appointment recommendations (such as feeding schedule) the day of the procedure, appropriate drop-off time at BRVC, expected go-home time (if known), etc.
  • Answering business and personal phone calls and voicemails in a friendly and professional manner. Routing calls and messages to the proper staff members and answering inquiries about services and/or products.
  • Replying to business and personal emails and faxes in a friendly and professional manner. Routing emails to the proper staff members, updating patient records with new information, and sending helpful correspondence and resources to clients when appropriate.
  • Acquiring and demonstrating knowledge of our Advice Tech and Boarding services, including booking services and communicating follow up expectations to clients.
  • Acquiring and demonstrating knowledge of our Procedure scheduling and Pharmacy policies, including submitting requests for service and communicating follow up expectations to clients.
  • Preparing invoices, collecting and processing payments. This will include making change, processing online payments, and processing credit and debit card payments in person and over the phone.
  • Knowing the fees for routine services so clients will be properly informed.
  • Explaining all invoices in detail to clients. Seeking input from the attending doctor or shift lead when unable to answer client questions.
  • Preparing all required forms including clinical records, health and immunization certificates, laboratory reports and euthanasia authorization forms in advance if possible.
  • Monitoring the appointment schedule and informing a lead of any potential issues. Assisting other staff in receiving clients, outpatients, procedures, emergencies, and animals to be euthanized.
  • Ensuring all treatment, surgery, and boarding forms are signed and an emergency number is left.
  • Updating patient records.
  • Rescheduling of appointments for clients who arrive late for services.
  • Scheduling exams, follow up services, outpatient services, technician appointments, and urgent care services.
  • Maintaining records for patient pet insurance. Filing insurance claims upon request.
  • Collecting specimens that clients bring in for laboratory analysis, label and take to the lab area.
  • Promoting in-hospital ancillary services such as boarding, grooming, etc.
  • Promoting and selling over-the-counter pet accessories, explaining and demonstrating products, answering questions, recording sales, making change, and wrapping/bagging merchandise.
  • Promoting practice protocols through client education using the appropriate terminology. Acquiring and demonstrating knowledge in subjects of parasites, vaccinations, routine surgeries, heartworm and flea prevention, etc.
  • Maintaining records for cremated pets and tracking cremains. Presenting owners with cremation remains.
  • Giving messages to doctors as needed.

Qualifications

The following experience/education is required.

  • High School Diploma or its equivalent
  • Basic computer proficiency for data transcribing and word processing
  • General knowledge of the standard procedures, records, and terminology used in a veterinary hospital
  • Practical knowledge of BRVC procedures and policies, services, client and patient treatment protocols

Boarding Technician

Boarding Technicians perform tasks that make pets staying with safe and comfortable. They have direct contact with patients and co-workers and work as part of a team in a fast-paced environment.

Essential Functions

Boarding Technicians work under the supervision of a department supervisor. The primary responsibilities for a Boarding Technician include feeding, cleaning, exercising, medicating, bathing, and caring for patients. This work includes, but is not limited to:

  • Walking through the kennel areas, checking each animal individually for any abnormal activity such as vomiting, diarrhea, or blood in the cage or run.

  • Reporting all abnormal activity to leads and doctors .
  • Recognizing emergency situations and enlisting the aid of doctors and technicians.
  • Marking journals correctly for eating and drinking, and fecal and urine production.
  • Performing treatments (feeding, watering, medicating, check off lists, etc) according to the Electronic Whiteboard, and marking them complete on the Electronic Whiteboard.
  • Cleaning and disinfecting cages, runs and yards as needed using hoses and spray bottles of disinfectant.
  • Using a squeegee to remove excess water.
  • Cleaning cat litter boxes and disinfecting kitty condos.
  • Cleaning and disinfecting all food and water bowls.
  • Giving boarding pets baths as needed.
  • Moving animals to the exercise yard so that the runs can be disinfected; returning the animal to the correct run after the cleaning is complete and run is clean and dry.
  • Picking up soiled bedding and moving it to laundry area. Placing clean bedding in run with animals.
  • Operating washer and dryer to clean kennel bedding and hospital laundry.
  • Performing baths and brush-outs as needed.
  • Cross-training in treatment area to perform the same duties.
  • Recording pet belongings on E-Whiteboard orders.

Qualifications

  • 16+ years of age
  • Interpersonal skills for interacting with clients and co-workers.

Patient Care Technician

Patient Care Technicians are responsible for ensuring that all hospitalized patients receive unparalleled care by performing treatments with proficiency and compassion, recording detailed information about treatments, and completing treatments and care activities in a timely manner. Patient Care Technicians look beyond the specific treatments being performed and take each patient’s entire treatment plan/diagnosis and their personal experience into consideration when determining how to provide the best possible care.

Essential Functions

Patient Care Technicians work under the supervision of a Technician Lead and report to a department supervisor. The primary responsibilities for a Patient Care Technician include performing procedures needed by hospitalized patients, recording treatments performed, and communicating with clients, doctors, and staff about procedures and patient status. This work includes, but is not limited to:

  • Checking at the start of the shift that all patients are stable and addressing any situations requiring immediate attention. Once this is done, ensuring all dogs are walked so that they can relieve themselves outside.

  • Performing treatments, starting with the most critical.
  • Reviewing the Patient Care Board/Electronic Whiteboard often to be sure patients receive medical attention in a timely manner.
  • Recording in the computer when treatments have been completed, including notes and observations as appropriate.
  • Checking the PVL to ensure that charges and patient orders are correct and up to date.
  • Evening Patient Care Technicians are responsible for checking and notating the amount approved by the client and comparing that to the actual and expected charges. If the charges exceed or will exceed the approved amount, it is the responsibility of the Evening Patient Care Technician to contact the doctor and get information regarding the expected future treatments. The Coordinator making the Update calls in the morning will present the additional estimate.
  • Ensuring that leads and doctors are aware of each patient’s current status.
  • Promptly returning phone call inquiries from clients regarding patient status.
  • Helping to facilitate clients visiting their hospitalized pets.
  • Being available to assist doctors, leads, and technicians with care and admitting of patients.
  • Preparing departing instructions for, making discharge appointments for, and discharging hospitalized patients.
  • Directing the patient care assistant.
  • Identifying and communicating to management the areas of improvement needed in the Patient Care Department.
  • Maintaining a clean, stocked, and orderly Patient Care Ward.
  • Ensuring the following for animals in Patient Care:

A qualified technician has assessed each patient and commented on the status. If comments have not been recorded, the Patient Care Technician is responsible for locating the technician caring for the patient and following through so that comments are recorded on the Hospitalization Record.

  • The patient is scheduled for walks, litter changes, and catheter maintenance at least every 4 hours where applicable.
  • Communicating with the doctors at the start of their shift about their patients’ status and updating leads and clients as needed.
  • Prior to the shift ending, communicating with the Patient Care Lead of the incoming shift to ensure a smooth transition in Patient Care between shifts.


Qualifications

The following experience/education is required:

  • 18+ years of age
  • High School Diploma or its equivalent.
  • Must have completed Technician II level training.
  • Minimum of 1 year experience in the veterinary technician field.
  • Strong communication skills for confidently conveying the status of hospitalized patients to clients, staff and doct

Registered Veterinary Technician

Veterinary Technicians assist doctors to provide exceptional quality care to patients. Technicians complete clinical procedures and attend to administrative details related to patient care. They have direct contact with doctors, patients, clients, and co-workers and work as part of a team in a fast-paced environment.


Essential Functions

Technicians work under the supervision of a Technician Lead and report to a department supervisor. The primary responsibilities for a Technician include assisting doctors with patients and assisting other technicians with duties. This work includes, but is not limited to:

  • Placing of catheters.

  • Understanding and administering oral and injectable medications (including Exotic Medicine).
  • Providing IV fluid therapy, responsible for appropriate bolus and maintenance rates.
  • Providing surgical assistance.
  • Overseeing hospitalized patient care and monitoring.
  • Providing emergency medicine and critical care, preparing for anticipated emergency situations as well as monitoring the special needs of critically ill patients.
  • Answering medical questions for clients, preparing and performing discharges.
  • Dental extractions as directed Dental extractions by doctor.
  • Preparing and administering chemotherapy.
  • Providing wound care, including suturing lacerations under supervision of doctor.
  • Safely administering injectable and inhalation anesthetics.
  • Maintaining and monitoring patients under anesthesia. Has the knowledge of ECG, pulse oximeter, thoracic and esophageal auscultation, and pulses. Under direct supervision and guidance of doctor.
  • Taking precautions related to asepsis in preparing instruments, patients and self.
  • Taking precautions related to procedures and risks involved with injectable and inhalation anesthetics.
  • Performing clinical laboratory procedures such as heartworm test, urinalysis, and drawing blood for laboratory analysis. Preparing samples for shipment to laboratory. Performing other in-house tests such as parvovirus test, FELV/FIV test, and maintaining laboratory logbook.
  • Producing diagnostic radiographs, including OFA films. Understanding and abiding by radiation safety protocols. Setting up the laprascope and endoscope machines.
  • Giving outstanding patient care to hospitalized patients.
  • Placing IV catheters, troubleshoot IV pumps and piggy back IV fluid bags.
  • Measuring and knowing normal values for TPR.
  • Applying bandages.
  • Obtaining patient history and providing clients information regarding parasites, immunization, administration of medications, care of bandages and dental care.
  • Performing subgingival scaling, dental polishing and radiography under supervision.
  • Knowing the location of emergency boxes and recognizing medical emergencies such as shock, DIC, neurological, cardiovascular, and respiratory emergencies.
  • Attending to doctor-assigned responsibilities: monitoring doctor schedule and anticipating their needs (daily and weekly), reading and following estimates, determining if pre-anesthetic blood work and IV catheterization are needed for procedures, presenting patients at daily medical rounds, calling owners for status reports as needed from past procedures or as doctor directed.
  • Recognizing contagious diseases and providing appropriate patient care: Parvovirus, feline upper respiratory diseases, Leptospirosis, ringworm, kennel cough and distemper.
  • Understanding euthanasia protocol and care of remains.
  • Discussing estimates with clients and scheduling procedures and surgeries.


Qualifications

The following experience/education is required.

  • 1 year experience in a veterinary setting or equivalent to final semester/term in veterinary coursework

  • Strong interpersonal skills for interacting with doctors, co-workers and clients.
  • RVT license preferred but not required.

Pharmacy Technician

Hospital Rx Technicians are responsible for promoting the Bishop Ranch Veterinary Center culture by being the front line of communication and advocate for patient medications needs, bridging the gap between doctor and clients after checking out, in the office and over the phone. Hospital Rx Technicians proactively interact with Clients, and maintain a positive, productive environment to ensure delivery of quality patient care and customer satisfaction.

Essential Functions

Hospital Rx Technicians work under the supervision of the Pharmacy Supervisor. As well as alongside Doctors and the Refill Technician. The primary responsibilities of this role include checking the accuracy, labeling, dosage, form, and calculations of prescriptions. This includes, but is not limited to, checking for the following details:

-Filling prescription labels and ensuring their accuracy. May include the following:

  • Correct drug is use in the prescription bottle according to label
  • Correct strength of drug is used:

-The drug is in the correct form (tablets, capsules, liquid, chews, etc) matching what the label says.

  • Correct expiration date is notated clearly
  • Correct quantity
  • All appropriate labels have been applied to the prescription bottle
  • All appropriate tools are given to properly administer at home
  • Signing off on the made the prescription legibly

-Effectively explaining new drugs going home to patients

  • Advising on how to properly & safely administer different type of drugs with different types of pets

-Follow all Hazardous Drug Handling protocols.
-Handling Controlled Substances in accordance with CA state law

  • Utilizing Cubex machine

-Completing tasks assigned and adherence to policies and procedures.
-Communicating with various department staff and clients using walkie-talkies, Slack, Google whiteboard, BRVC phone system, Outlook email, Smartsheet, AllyDVM, and Formstack.

-Stocking drugs and supplies

Overnight Technician

Overnight Technicians are responsible for providing patient care to hospitalized pets, answering phone calls, and completing the overnight task list.


Essential Functions

Overnight technicians work under the supervision of a Technician Lead and report to a department supervisor. The primary responsibilities for an Overnight Technician II include handling emergency phone calls, performing treatments scheduled for overnight hours, recording treatments performed, and caring for patients. This work includes, but is not limited to:

  • Performing rounds with Patient Care Technician and Hospital Coordinator at the start and end of shift.
  • Answering the phone and handling emergency phone calls as directed.
  • Performing treatments from 10:00 PM to 8:00 AM. The 7am treatments should be completed by 7:00 AM that day. This will require the knowledge to estimate the amount of time required to complete these treatments, and the treatments will therefore have to be started as early as necessary in order to be completed on time.
  • Recording all performed treatments and observations in the Cornerstone system, utilizing the Electronic Whiteboard and the Hospitalization Record to do so.
  • Following emergency procedures.
  • Ensuring that all dogs are walked outside as needed before they are the only employee left in the hospital. After the other employees have left, responsible for ensuring all outside doors to the hospital are locked. Staying inside the locked BRVC building overnight and not allowing any other individuals into the hospital until the morning shift of BRVC employees arrives.
  • Knowing and practicing the Controlled drug policy.
  • Stocking and cleaning.

Qualifications

The following experience/education is required.

  • 18+ years of age
  • High School Diploma or its equivalent.
  • Knowledge of the use, care, storage of veterinary instruments and animal handling.
  • Minimum of 1 year experience in the veterinary technician field.

Exam Room Technician

Exam Room Technicians clean animal cages and counters and lift pets-must be able to lift 15 lbs, and team lift 55lbs, as well as restrain animals, risking exposure to bites or scratches. Their work often involves kneeling, crawling, crouching, squatting, repeated bending, and lifting /stocking heavy supplies. They must be able to walk or stand for extended periods of time, take precautions when treating animals with germicides or insecticides and often wear protective clothing.

Essential Functions

Must possess a strong ability to communicate to clients and staff in a friendly and professional manner. Must have personal experience as a pet owner.

  • Ensures exam rooms and hallway are clean, organized and stocked.

  • Monitors the appointment book to anticipate scheduled appointments and plan which room the appointment will take place in.
  • Monitors the reception area for arrival of clients.
  • Greets clients and pets, and brings them from the lobby to the exam room after they have been checked in by CSR.
  • Records patient’s body weight and temperature prior to the doctor entering the examination room.
  • Assists the doctor or technicians with restraint of animals.
  • Prepares necessary vaccines for doctors appointments.

Patient Care Supervisor

The Patient Care Supervisor coordinates scheduling, training, and resources for Patient Care leads and team members to ensure smooth and effective workflow in Patient Care services. This includes coordination with other department supervisors, Training Supervisor, and Hospital Managers, addressing escalated personnel matters, proactively troubleshooting and solving problems, interacting with Clients, and maintaining a positive, productive environment to ensure delivery of quality patient care and customer satisfaction. Department supervisors play an active role in department and talent development, working in collaboration with senior leaders. Supervisors will, at times, work directly with team members to function as a Department Shift Lead, to be the supervising presence on the floor, and to address immediate needs. The primary responsibility of a supervisor is to initiate discussion and bring forward ideas related to long-term goals and development.

Essential Functions

The Patient Care Supervisor is responsible for the operations of the Patient Care Department, overseeing the work of the Patient Care Leads and supporting management of the PC Mid, PC Assistant, PC Technician, and Overnight Technicians.

The Patient Care Supervisor has primary responsibility in these essential functions:

Forecasting and preparing team for supporting Medical Boarding.

  • Oversight of processing Medical Boarding admit forms.
  • Managing and overseeing proper maintenance of the Oxygen Cage.
  • Keeping injectable drugs UTD (labeling, expiration dates, back stock).
  • Ensuring maintenance for the Isolation Ward.
  • Maintaining a schedule with the Inventory Manager on equipment needs for the daily functions of the department: blood transfusion lines, burettes, nasal cannulas.
  • Administering the Patient Care Technician quiz for those PCAs moving to PCT.
  • Scheduling shift coverage for leads and staff in the Patient Care Department.
  • Setting clear expectations for job performance and holding Leads accountable for meeting expectations, performance standards, and ethics/values of BRVC.
  • Addressing issues in a timely manner and seeking continuous improvement to streamline processes, improve efficiencies, and deliver best-in-class care and service. Working to create long-term solutions and clear obstacles for employees rather than stopping with “band-aid” solutions to problems.
  • Cooperating and collaborating with Supervisors and Leads across the organization to support coverage needs throughout the organization.
  • Communicating clearly, consistently, and in a timely manner with Department staff about new initiatives, procedural changes, or goals.
  • Mentoring Leads to build their competence, confidence and capacity.
  • Conducting and documenting performance reviews and stay interviews with all Department staff.
  • Manage time off requests and schedule for Patient Care and Overnight Technician and Assistant positions.
  • Participate and initiate interviews and hiring for the department.
  • Work with the Operations Manager to identify measurable objectives and KPIs to meet business needs and department goals.
  • Work with Marketing Manager to capture “Lives Saved” stories and educate our community of the Patient Care department.

Qualifications

  • Minimum of 6 months supervisory experience strongly preferred.

Veterinary Student Externship Opportunites


Bishop Ranch Veterinary Center & Urgent Care offers veterinary student externship opportunities year-round for periods of 1-4 weeks for 3rd and 4th-year veterinary students. Only one extern is present at any given time to provide each student with the most hands‐on experience possible. Veterinary students are also offered the opportunity to learn about business operations, client communications, and specialized areas of the practice – Holistic, Internal, Exotic and Reproductive Medicine, and Emergency Medicine.

Goals of Externship Experience: In addition to giving students experience by assisting with general surgery, specialty surgery, advanced procedures (laparoscopy), and diagnostics (ultrasound), students will also receive exposure to and assistance with other areas of Veterinary Medicine

The Externship will:
• Expose the student to client relations, practice management, and problem-solving.
• Facilitate the student's transition from the academic environment to the hands‐on world of clinical veterinary practice.
• Allow the student to experience how veterinarians obtain the confidence and goodwill of clients.
• Give the student the opportunity to identify the legal, ethical, and moral challenges associated with veterinary practice and to judge how they would respond in such situations.
• Enable the student to recognize the benefits of successful practice management.

It is anticipated that students will come to appreciate the day-to-day role of the various employees in a veterinary practice, their contributions to a smoothly functioning hospital, and the importance fo everyone being a team player. Students will have the opportunity to shadow various veterinarians during appointments, will be responsible for developing problem lists and treatment plans (including diagnostic and surgical recommendations), and will be responsible for assisting veterinarians and veterinary staff with monitoring cases. Hands-on experience with diagnostic and surgery will be supported as much as possible.
Depending on the time of year housing may be available for visiting students.
